The Uncomfortable Conversations You Need to Have Before a Multi-Generational Group Trip

by

I often work with groups. As a seasoned meeting planner, I have a few stories about seeing ahead to people’s needs to ensure a successful event. Those skills come in handy when planning group trips, especially multi-generational trips. In my experience, the key to a smooth and enjoyable vacation lies in having honest, upfront discussions, and setting expectations. Not for rigidity. For flexibility and enjoyment.

This is something I see time and time again with theme park vacations. I frequently send families to Disney, and when multi-generational groups are involved, these conversations matter even more. When each person takes care of their own needs on vacation, it positively impacts the entire group.

So what exactly are these conversations that can feel a little “uncomfortable” but are so important?

Here are some key questions to consider before you hit the road:

What’s the overall vibe? Are you aiming to relax and reset, check off a bucket list adventure, or throw a big party? Getting on the same page helps tailor the trip to everyone’s expectations.

What’s the daily budget? And are we being honest and realistic about it? Money can become a tricky subject. You can have plenty of flexibility. Also, clarity prevents misunderstandings later.

What’s the daily rhythm? Will we be waking up early for sunrise hikes or sleeping in till noon? Different energy levels can impact the day’s plans.

What happens if someone gets sick or just needs downtime? It’s crucial to have a plan so no one feels pressured or left out.

These aren’t just itinerary questions. They’re the foundation for harmony and making memories that everyone wants to recreate on the next trip.

This is where a travel advisor (like our team!) can be a game-changer. When one person is tasked with managing these conversations, they can easily become the “bad guy” chasing everyone around. Having a neutral third party handle the details and facilitate these planning talks can transform the dynamic. It allows everyone else to focus on enjoying the trip together.

I love setting my groups up for success, ensuring the details are handled and those important expectation-setting conversations happen ahead of time. Because when you prepare well, it frees everyone to create unforgettable experiences.

If you’re planning a multi-generational vacation, don’t hesitate to reach out. Let’s start the conversation early so your trip can be smooth, flexible, and fun for all.
